How to add a status to your assets

Status mapping for your assets helps you track and manage their condition and availability effectively. By assigning specific statuses to your assets, such as 'available,' 'in use,' or 'under maintenance,' you can easily monitor their status at a glance. 

Before we get started 

Take note 

  • Only Owners and Admins can create and manage asset statuses 
  • Static and dynamic statuses can be created 
  • A history of statuses can be viewed from the assets listing page 
  • Existing statuses can be overridden with new statuses 

Create Asset Status 

Step 1: Sign in to the Capptions Direct web portal

Sign in to your Capptions Direct account using the link

Step 2: Select an organization 

Click on the drop-down arrow in the top left-hand corner and select your organization.

Step 3: Click on templates 

Step 4: Create a form that has KPI's 

If you have a form that already contains KPIs, continue to Step 5.

Step 5: Click Workflow 

Step 6: Create or edit a workflow with an existing or new ASSET INPUT node

Step 7: Add CHANGE ASSET STATUS node 

7.1 Right-click on the builder to open the node menu. Select the CHANGE ASSET STATUS node. 

7.2 Connect the  CHANGE ASSET STATUS node to the FILL A FORM node by drawing a line between the blue dots. 

7.3 Connect the CHANGE ASSET STATUS node to the ASSET INPUT node by drawing a line between the orange dots 

Step 8: Check mark Forms box in the GENERATE REPORT node

In the GENERATE REPORT node, check mark the form you would like included in the final PDF report

Step 9: Add static status or Dynamic status( Step 10)

9.1 Static status

Within the CHANGE ASSET STATUS node. Add any numerical value. All assets inspected will automatically receive the entered value as a status. 

Step 10: Add dynamic statuses 

10.1 Within the form template you created, Open your KPI builder and copy the result name and paste it into the CHANGE ASSET STATUS node with two curved brackets. e.gScreenshot 2024-09-08 at 21.31.35

Example of how to create a KPI

10.2 Within the form you can add a single choice field type with the question What is the condition of the machine? 

10.3 Several answer options can be added, each of which has a value attached to it.

10.4 In the KPI builder, add your formula

10.5 Copy the result name " Condition_ of_ Machine"

10.6 Publish the form template 

10.7 Edit your workflow and follow step 10.1 

Step 11:  Publish the workflow 

Step 12: Assign workflow to the team

12. 1 Click the three dots on the far right of the workflow 

12.2 Click details 

12.3 Click upgrade 

12.4 Click Upgrade Assignment 

Step 13: Start and complete workflow 

Step 14: View Asset statuses 

14.1 Click Assets
