How to execute a workflow from an existing one

This article outlines what it means to execute a workflow from an existing one and how to set the action.

Before we get started 

Take note 

  • You can set the action to execute a workflow from an existing one if you are an "owner" or "admin" of the organization. 
  • You can only set the action to execute a workflow from an existing one via the web portal. 

Execute a workflow from an existing one.

Step 1: Sign in to the Capptions Direct web portal

Sign in to your Capptions Direct account using the link

Step 2: Select an organization 

Click on the drop-down arrow in the top left-hand corner and select the organization.

Step 3: Click on Templates 

Step 4: Click on workflows 

Step 5: Build a workflow or edit an existing one 

Depending on the reason for setting this action, you might consider building a workflow that only executes multiple other workflows at the same time or editing an existing one where at a certain stage in a process, a new workflow is started. 

Step 6: Assign a role responsibility 

Assigning a role responsibility in this context would mean determining which workflow will be executed. Click on the three dots Screenshot 2023-09-25 at 12.52.13in the right-hand corner of your screen. Select role responsibilities. 

6.1 Select 'Specific workflow' as the "Type" and enter the title of the workflow. Click add to save.

Step 7: Add the Execute workflow node

Navigate to the stage in your workflow where you would want to trigger the start of another workflow. This could be after a form submission, the generation of a report, or when a condition has been met.  Right-click on your mouse to display the mode menu. Select the Workflow node. 

Step: Publish your workflow and assign it to your team 

Once you have built your workflow to completion or edited your existing one, click the publish button on the top right corner of the workflow builder and assign it to your team. When assigning the workflow to your team, you must ensure that the sub-workflows being executed are also published. To learn how to assign a workflow, view this article.
