Why enable Autocompletion
Users can quickly and efficiently fill out forms by automatically populating predefined options or suggesting previously entered data. This not only saves time and effort but also reduces the likelihood of errors when entering information.
Before we get started
Take note
- You need to be the Admin or an Owner of the organization
- Autocompletion of tasks is possible across form templates of the same version. Previous responses are no longer available once the form is upgraded to a new version.
- Autocompletion is possible across different versions of the workflows, as long as the template version ( form template) remains consistent across the different workflow versions.
Enable Autocompletion
Step 1: Sign in to the Capptions Direct web portal
Sign in to your Capptions Direct account using the link
Step 2: Select an organization
Click on the drop-down arrow in the top left-hand corner and select your organization.
Step 3: Click on Templates
Step 4: Click on Workflow
Step 5: Edit a workflow or create a new one
Step 6: Add the Autocomplete node
Right-click on your mouse to open the node menu. Select the Autocomplete node
Step 7: Connect the Autocomplete node to the Form node
Connect the Autocomplete node to the Form node by drawing a line between the orange dots.
Step 8: Define the Autocompletion behavior
8.1: Choose the Autocomplete ID field.
This is the question that needs to be answered by the user for the form to autofill.
8.2: Allow data to be autocompleted only when:
Checkmark under which circumstances the data must be autocomplete
8.3: Automatically prefill the form when autocomplete available
Checkmark whether or not the form will autocomplete when the above requirements are met. If left unchecked, a user will autofill each question individually by clicking the magic wand icon
Autocompletion will only activate when every checked condition is true.
Step 9: Click Save
Step 10: Publish workflow
Step 11: Assign workflow to your team

This field acts as the required question that the user needs to answer for the form to automatically populate with relevant data. Once its value matches the previously selected answer, the form will autofill. |
Same workflow execution was used to get previous fill-outs. |
Autofill functionality is limited to forms completed within the same workflow execution. For example, this means that in a workflow with parallel or consecutive identical form templates, autofill will only operate for forms in that particular workflow instance. |
This workflow was used to submit previous completions. |
If the workflow was previously executed, whether on a different version or the same version, the form will autofill. The form version must always remain consistent. |
Same team has completed the same form before. | The same team must have completed the same workflow before |
User completing this task has completed the same form before. | Only users who have previously completed the workflow will have the previous responses automatically filled in the form. |
Automatically prefill the form when autocomplete is available |
The system will automatically autofill the form with previous answers When left unchecked, users can auto-complete the template manually. A "magic wand" icon will appear next to each question. Once clicked, the answers will populate. |
