Learn how to set up a review step for your workflow.
What is a review step?
The purpose of the review step is to identify any incomplete data, inconsistencies or opportunities for improvement that may have occurred during the preceding stage. By inserting a review step, the reviewer will have the opportunity to accept the submission or decline it with a note. By declining, the submission will be sent back to the initial person who submitted it to adjust and/or add requested data.
Take note
- You can only add a review node if you are an "owner" or "admin" of the organization.
- You can only add a review node via the web portal.
- You can only have one review node per submission
Add a Review node
Step 1: Sign in to the Capptions Direct web portal
Sign in to your Capptions Direct account using the link
Step 2: Select an organization
Click on the drop-down arrow in the top left-hand corner and select the organization.
Step 3: Click on Templates
Step 4: Click on workflows
Step 5: Build a workflow or edit an existing one
51. If you are building a workflow from scratch, insert a form node followed by a Review Submissions node.
Connect the form node to the start of the workflow by drawing a line from one blue dot to the other. Then, connect the form node to the review submissions node. Assign a role responsibility and continue building your process.
5.2 If you are editing an existing workflow, insert the Review Submission node immediately after the form node that would need to be reviewed.
Step 6: Create a role responsibility for the reviewer
The reviewer in the process is usually different from the person who initially submitted the form. You would, therefore, need to create a different role responsibility from the initiator. Click on the three dots on the top right corner of your screen. Then select Role responsibility. If the user is part of a team of 'reviewers', for example, a team of managers, then select the role responsibility type of " Any user in a team. " Meaning that any user in the team of managers will be assigned the review task. If the reviewer is on the same team as the users responsible for completing inspections/audits/ checks etc. then select the role responsibility type of " Specific user." Meaning that a specific person in the team will be assigned the review task. Provide the role with a title and click "add"
Step 7 Publish your workflow and assign it to your team
Once you have built your workflow to completion or edited your existing one to include a Review Submission node, click the publish button on the top right corner of the workflow builder and assign it to your team.
