How to enable dismissal task behavior

The Dismissal task features allows you to manage the completion of tasks within your organization.

Before we get started 

Take note 

  • The Dismissal feature offers two options: 
    1) Dismissal Behavior - Attributed to the user completing the form submission 
    2) Dismissal Review - Attributed to the user responsible for approving the dismissal of form submissions within the workflow 
  • You can only add the review dismissal task if you are an "owner" or "admin" of the organization.
  • You can only create and manage a Review dismissal via the web portal. 
  • The Review dismissal node can only be connected to the Form node.
  • There are three Dismissal behavior reasons you can set for the Form submission 
    1) None- which allows the user to dismiss the assigned task without providing the reason 
    2) Optional- which allows the user to decide if they would like to provide a reason or not for dismissing the task 
    3) Required- requires the user to provide a reason for dismissing the task before the request can be actionable 
  • There are three Review Dismissal statuses that you can allow for on workflow.
    1) No- which allows the user completing the task to dismiss it without needing to provide a reason 
    2) Automatic approval- which allows the user to positively dismiss the task 
    3) Manual approval -  A new task will be created, which provides the persons or specific person responsible for this task the responsibility of approving or declining the attempted dismissal of the Form submission task with a reason. The task will be sent to the initial user to make amendments and re-submit, when it is declined.
  • Once the workflows are completed, the outcome of the Review  Dismissal will be populated on your Dashboard and shown under the status of "Resolved"

Set Dismissal Behavior 

 

Step 1: Sign in to the Capptions Direct web portal

Sign in to your Capptions Direct account using the link

Step 2: Select an organization 

Click on the drop-down arrow in the top left-hand corner and select your organization.

Step 3: Select a workflow or create a new one

Click on Templates -> Workflows-> + Create workflow. Build your workflow to include at least a single form. Within every Form node, there will be a dismissal behavior button that you can use to set the Dismissal Behavior. Select the option to see the three options available. 

Step 4: Set the dismissal behavior 

Within every Form node, there will be a "Dismissal behavior" button that you can use to set the dismissal behavior action. Click the button to see the three options available. 

Step 5: Complete workflow and publish it 

On the top right hand corner of the workflow builder , click "Publish". Navigate to the workflow and select theScreenshot 2023-09-25 at 12.52.13  icon to assign the workflow to a team.

Create a Dismissal Review task 

Step 1: Follow steps 1-3 

Once you have selected your workflow or have built a new one, right-click your mouse on your screen to reveal the nodes you can build into your workflow.

Step 2: Add the Review Dismissal node to your workflow 

Select the Dismissal Review node and connect it to the Form node using the red buttons. 

Step 3: Set the behavior of the Review Dismissal 

Within the node, set the task behavior to one of the following options:  1) No, 2) Automatic approval, or 3) Manual approval.  

Step 3: Publish workflow and assign it to the team 

On the top right hand corner of the workflow builder , click "Publish". Navigate to the workflow and select theScreenshot 2023-09-25 at 12.52.13  icon to assign the workflow to a team.
